Stop Hoping Your Bot Says the Right Thing. Map It.
A prompt-only bot improvises. A flow-built bot follows the exact path you’d want your best closer to take — qualify, branch, book, hand off.
There are two ways to build a chat bot. You can write one big prompt and hope it behaves, or you can lay the conversation out visually and tell it exactly how to move. The Flow Builder is the second way — a canvas where you map the path: ask the qualifying questions, branch on the answers, push toward the booking, and hand off to a human when it’s over its head.
Set the personality once, then build the path
You start with Bot Goals — a global prompt that rides along on every step. Set the tone in a couple of keywords, describe who the bot is (“you’re the front desk for my studio”), and give it the intent and a few real examples of how to talk. You also set the guardrails here: Stop Bot if someone says stop or gets abusive, and Human Handover the moment it’s stuck or the contact asks for a person. That safety net applies everywhere in the flow.

The actions that do the real work
Inside the builder, two AI actions earn their keep because they loop until they succeed. Capture Information keeps asking — politely, up to a max number of tries — until it gets the answer, and can drop it straight into a contact field and tag the lead “qualified.” Book Appointment keeps nudging toward your calendar and branches cleanly into “booked” or “not booked.” Around those, AI Splitter routes the conversation based on what it learned, and simple Message actions say exactly what you want, when you want it.
Send hard cases to a sharper bot
One smart move for anything with variations: Transfer Bot. If you handle, say, three service areas with slightly different rules, a single bot can get them confused. Instead, transfer the contact to a focused bot that only knows that one path — cleaner answers, fewer mix-ups.
The takeaway
Pick your highest-volume conversation — usually new-lead intake — and map it: a Capture step for the two questions that qualify, a Book Appointment step into your calendar, and Human Handover set for anything off-script. Build that one flow well and you’ve cloned your best intake call into something that runs every hour of the day.
